SMS prescreening is working for us

We piloted SMS pre-screening via REDCap/Twilio on a type 2 diabetes trial and saw a 28% increase in qualified referrals in the first 14 days, while eConsent in DocuSign trimmed coordinator touchpoints by about 12 minutes per participant. How are you coordinating contact cadence so texts, calls, and clinic referrals don’t collide — any workflows or tools that keep recruiters aligned in real time?

We avoid collisions by making SMS the first touch and enforcing a “no double ping within 24h” rule in REDCap; a Twilio webhook flips a flag that pauses call tasks in our CRM, so it’s air-traffic control for outreach. We also route clinic referrals into the same queue via a quick REDCap form so they inherit the cooldown, though we shorten it to 6h if the PCP already teed up the call.

Building on @mason7362, we write a ‘hold_until’ timestamp to REDCap on any SMS send or clinic referral, and a tiny Power Automate check suppresses Salesforce call tasks until that expires. Only watch-out: mirror the hold back to the clinic queue and honor quiet hours by participant timezone — think of it as a traffic light for outreach.

And congrats on the ‘28% in 14 days’ — we tied DocuSign envelope events to a 2‑hour quiet period and limited SMS to 9a–7p in the participant’s timezone via Twilio, the off‑hour pings were killing reply rates. If a clinic referral hits during that window, SMS downgrades to a single ‘confirm or reschedule?’ nudge instead of a fresh prescreen, which trimmed collisions without adding coordinator time.
