Streamlining timeline reports and informed consent

I’m tightening our weekly timeline reports and the way we manage informed consent forms for stakeholder interviews, and I want approaches that scale without bogging the team down. Right now we publish a Monday 8:00 a.m. schedule snapshot from Smartsheet and route DocuSign consent before any site photography, but change orders midweek are creating version-control churn. We solved this by keeping one “living” Smartsheet Report URL as the source of truth and batching change orders into a 2 p.m. freeze; the Monday 8 a.m. snapshot is auto-archived, and midweek we only send a short “delta” summary. For consent, we switched to a DocuSign PowerForm with a clause covering re‑shoots for 90 days, so we don’t reissue unless scope changes (https://www.docusign.com/features/powerforms). Caveat: if your GC insists on per‑visit signoffs, embed the Report URL + version tag in the envelope to cut the whack‑a‑mole updates.
